What Are the Best Procore Alternatives for Subcontractors?#

If your GC already runs the job in Procore, you can usually work in its project without buying your own licence, so the real question is what runs your own company. Raken and Fieldwire are the common picks for daily reports, crew time and plans in the field. eSUB and Knowify are built for trade contractors who want project management, change orders and billing in one place; Knowify is aimed at QuickBooks shops. BuildOps is built for commercial contractors with a large service side. Appello fits ICI subs running union crews, on project and service work alike: it has a dispatch board and work orders alongside scheduling, union timesheets, job cost and progress billing.

How do the main options compare?#

Every cell comes from the vendor's own website or help centre, checked on October 14, 2026. Links are in the sources at the end.

Do you need your own Procore account if your GC uses Procore?#

Often, no. Procore's pricing page says it never charges for adding users, and it counts subcontractors among the collaborators that are included. If your GC invites you to its project, your PM and foremen can work in whatever the GC shares, such as drawings and RFIs, without your company paying Procore anything.

Procore's own subcontractor page answers this question too. Its pitch is that working through your GC's account means "missing out on a ton of features," like keeping your own copy of project data and running your own change orders and billing. That's fair. Just be clear what you'd be buying. The GC's project is the GC's record. Your crews, your pay and your job cost still need a home.

Why do subcontractors look for an alternative?#

Three reasons come up most.

  1. The pricing model. Procore charges an annual fee per product, based on your annual construction volume, with no published list prices. That suits a GC that wants unlimited users across many companies. A sub that does $15 million a year pays on that $15 million, even if 40 of its 60 people never log in. We walk through the math in what Procore's volume pricing costs a subcontractor.
  2. It's built around the project, not your crew. Procore's subcontractor page talks about budgets, T&M tickets, daily logs and resource planning. Its Timesheets product has overtime thresholds and a payroll export, but nothing on its public pages covers collective agreements, trade levels or travel pay.
  3. Labour doesn't reach the books. Procore's QuickBooks connectors, Online and Desktop, list timecards and timesheets as not synced. If you run QuickBooks, someone still re-types hours.

Which alternative fits which kind of sub?#

You mostly need better field reporting. Raken covers daily reports, photos and production tracking, with time tracking, geofencing and a time clock on its Performance plan. It connects to Sage 100 Contractor, Sage 300 CRE, Sage Intacct, Foundation, Deltek ComputerEase, CMiC, QuickBooks Online and Desktop, Vista and Spectrum, sends payroll to Paychex and Points North, and syncs with Procore, which matters if your GC requires you to report there too.

You mostly need plans and tasks on site. Fieldwire, owned by Hilti, is strongest on drawings, punch lists and task assignments, and it keeps plans available offline. Its free plan covers 5 users on 3 projects. Its timesheet is a form: hours per worker per day, with the cost code typed into a comment.

You want one system for project management and billing, and you're a commercial trade contractor. eSUB covers daily reports, T&M, change orders, RFIs, submittals, POs and progress billing, and connects to QuickBooks Online. It publishes no prices, so you'll need a demo to compare.

You're a smaller trade contractor on QuickBooks. Knowify connects to QuickBooks Online, and to Desktop on its Enterprise plan, and publishes its per-user price. Our guide to construction software that works with QuickBooks goes record by record.

Half your revenue is service calls. BuildOps is built for commercial contractors running service and construction work together, priced by crew size and modules. If your service work runs next to union project work, Appello covers both: a dispatch board, work orders with checklists, and signed T&M work orders that become invoices.

You run union crews across several ICI jobs. That's where Appello fits. More below.

What should you test before you switch?#

Bring a real week to every demo. A crew of eight across three jobs, one worker who moved from journeyman to foreman mid-week, a T&M ticket the GC signed on Thursday, and a progress claim due on the 25th. Then ask:

  • "Show me Friday's hours turning into payroll, with overtime, travel and board already applied."
  • "Show me the T&M ticket becoming an invoice."
  • "What still has to be entered in my GC's Procore by hand?"
  • "Do I pay per user, per worker or on volume, and does that change if we grow?"
  • "Can I bring jobs that are already half built?"

Where is Appello not the right fit?#

Appello is built for ICI trade contractors with field crews. It isn't built for:

  • General contractors who need document control and submittals for the whole building. Procore is built for that job.
  • Residential builders and remodelers.
  • A one-person shop with no field crew.

Where does Appello fit?#

Appello is for ICI trade contractors, often union, with crews spread across several jobs at once: insulation, mechanical, HVAC, electrical, sheet metal.

  • Workers clock in on the phone inside a geofence and enter hours by job and cost code, or the foreman enters the whole crew at once.
  • Each timesheet row is priced from the worker's trade level and the agreement, including overtime, travel, board and parking. Approval runs at two levels, supervisor then admin.
  • Hours go to QuickBooks Online as time activities with payroll items, or out as a payroll file for Sage 50 Canada, Sage 50 US, QuickBooks Desktop, Dayforce PowerPay or CSV.
  • The schedule warns you when a worker's certification is missing or expired. Safety forms can be made mandatory on the job and are filled in on the phone.
  • Progress invoices are built from the Schedule of Values with holdback and tax, and change orders roll into the next claim. Budget vs actual by cost code updates as timesheets are approved.
  • Service and extra work runs from a dispatch board. Work orders carry checklists, and a signed T&M work order becomes an invoice with its labour, material and equipment lines.
  • Purchase orders, receiving and inventory track material from the supplier to the job. RFIs and drawings with markup live on the job.

If your GC requires Procore on the job, you keep using it there, and submittals stay in the GC's system. Appello runs your own company. No direct connector. Appello has an API, and so does Procore, so the two can be connected. Ask us about it. See Appello vs Procore for a side-by-side.

FAQ#

Is there a free Procore alternative for subcontractors?
Fieldwire has a free plan for up to 5 users and 3 projects. And if your GC invites you to its Procore project, you can work there without buying a licence.

Is eSUB or Procore better for a subcontractor?
eSUB is built for trade contractors, and Procore serves GCs, owners and specialty contractors. If you need your own project management and billing, see both, and ask each for a price on the same scope.

Can I use Raken with my GC's Procore?
Raken lists a Procore integration that syncs the field data your crews collect in Raken into Procore.

Does Procore handle union payroll?
Partly. Procore's Timesheets support has overtime rules and a payroll export, but its public pages say nothing about collective agreements, trade levels or travel pay. Ask any vendor to show you a union timesheet, priced, before you buy.

Do these tools replace QuickBooks or Sage?
No. Every option here runs next to your accounting system. Check exactly which records cross, and in which direction.
