WIP report

Your WIP schedule, run as of any date — not rebuilt in a spreadsheet

Appello's WIP report puts every awarded job on one page as of the date you choose: contract, billed to date, cost to date, cost to complete, percent complete, gross profit, and whether each job is over or under billed. It is for the owner and controller, and for the quarter-end conversation with your bank or surety. It is live today — and exports to CSV or PDF.

WIP report: how it works

1

The contract, as of the date

Pick any date. Every job with a won estimate appears, with its original contract and a revised contract that adds the change orders won by that date.

2

Cost and billing come from the job

Cost to date is approved timesheet labour plus approved bills and expenses on the job. Billed to date follows your invoice settings, including whether holdback counts.

3

Percent complete from cost

Cost to complete comes from the job's latest forecast, or from the estimate when there isn't one. Percent complete is cost to date over total expected cost, and earned profit follows that percent.

4

Over and under billing, worked out

Billed more than cost plus earned profit? Overbilled. Less? Underbilled. The totals show net under or over billings, average gross profit on running and finished jobs, and how many jobs are losing money.

A normal week with it

  1. Last days of the month

Timesheets and bills get approved. Project managers update the forecast on any job where the finish has moved.

  2. First week of the month

Run the report as of month end. Look at the overbilled jobs, the underbilled ones, and any job with gross profit below zero.

  3. Quarter end

Export the PDF or CSV for your accountant, bank or surety. Bond number and contract type come from fields you already keep on the job, once you map them in business settings.

What a WIP schedule costs without it

Most contractors build the WIP schedule in a spreadsheet at quarter end, from exports out of three different places. By the time it is finished, the numbers are weeks old.

  • Someone pulls contract values, costs and billings from separate systems and pastes them together.
  • Change orders won late in the month are missed, so the contract figure is wrong.
  • A job that is quietly losing money looks fine until close-out.
  • Cash from overbilled jobs looks like profit until the work catches up.

WIP report: common questions

How does Appello work out percent complete?

Appello's WIP report works out percent complete by cost: cost to date divided by cost to date plus the estimated cost to complete. Cost to complete comes from the job's latest forecast, or from the estimate when there isn't one. Keep the forecast current and the percent complete, earned profit and over or under billing all follow.

Can I run it for a past date?

Yes. Appello's WIP report runs as of any date you pick. Contracts count only the estimates and change orders won by that date, and costs and invoices count only what is dated on or before it. Run last quarter's report again and you get last quarter's numbers, ready to export to CSV or PDF for your accountant, bank or surety.

Does it include finished jobs?

Yes, by default. Appello's WIP report includes completed jobs unless you untick “Include completed jobs” to see only running work. A job counts as completed when its estimated cost to complete is zero. The totals show net under or over billings, average gross profit on running and finished jobs, and how many jobs are losing money.
