Certification tracking software

Know whose ticket runs out before the gate does

Appello keeps every worker's safety tickets in one place — WHMIS, Working at Heights, Confined Space, first aid and the rest — with the date certified, the expiry date, the training provider and a scan of both sides of the card. Every ticket shows Active, Expiring Soon, Expired or Missing, so the office books the renewal before a worker is turned away at the gate. It is built for the safety coordinator or office manager at a trade contractor, and it is live today.

Certification tracking software: how it works

1

Set up each ticket type once

Name the certification, how often it must be renewed, and how many days out it counts as expiring soon. New types start with your company-wide setting (30 days unless you change it); a three-year ticket can warn you earlier. Require a proof-of-training upload, and mark tickets as required for a worker so any gap shows as Missing.

2

Record the ticket, not just a date

Pick the worker, the ticket and the training provider, enter the date certified, and Appello works out the expiry from the renewal period. Attach the front and back of the card. Renew a ticket and the old record stays in its history.

3

See who is running out

The certification status report groups every ticket by type with its status, expiry date and days left. Filter it to Expiring Soon and Expired, then export to CSV or PDF. Dashboard tiles count expired and expiring tickets for the whole company.

4

Let workers carry their own

In the mobile app, each worker sees their tickets and status, adds a renewed card with a photo of both sides, and can email selected certificates to a general contractor as a download link.

A normal week with it

  1. Monday morning

Open the status report filtered to Expiring Soon and Expired. Book renewals with the training provider on each record.

  2. Midweek

A worker finishes the course and adds the new card from their phone. The ticket shows Active again.

  3. Before dispatch

The scheduler sees each worker's status for the scheduled day on the daily schedule, so nobody with an expired ticket goes to a job that needs it.

What certification tracking costs without it

Most shops keep tickets in wallets, copies in a filing cabinet and expiry dates in a spreadsheet nobody opens until there is a problem.

  • A worker is turned away at the site gate, and a crew is short for the day.
  • The general contractor asks for training records and someone spends the afternoon scanning cards.
  • Renewals get booked after the ticket lapses, not before.
  • Nobody can say which workers are missing a ticket the next job requires.

Certification tracking software: common questions

How far ahead does Appello flag an expiring ticket?

Appello flags a ticket as Expiring Soon using a window in days set for each certification type. New types start with your company-wide setting (30 days unless you change it), and you can change it per type, so a three-year ticket can warn you earlier. Tickets inside the window show as Expiring Soon on the report, the dashboard and the worker's phone.

Can workers add their own certificates?

Yes. In the Appello mobile app, a worker picks the ticket, enters the date certified, takes a photo of the front and back of the card and saves it. The office sees it on their record straight away, and Appello works out the expiry from the ticket's renewal period.

What can I send a general contractor who asks for proof?

Appello gives you two ways to send a general contractor proof of training. Export the certification status report to PDF or CSV, or have the worker email selected certificates from the mobile app, and the recipient gets a link to download them. The report lists each ticket with its status, expiry date and days left.
