How to Use ChatGPT to Run a Construction Business (and Connect It to Your Job Data)

A practical guide for trade contractors: what to hand ChatGPT first, how to give it context, connect your email, files and job data, put it on a schedule, and which plan you need. Plus what it should never do on its own.

How to Use ChatGPT to Run a Construction Business (and Connect It to Your Job Data)#

Start with the office work around the job, not the job itself: sorting bid invitations and addenda, drafting replies to GCs, turning site notes into a scope with exclusions, and summarizing the week. Give ChatGPT context in a Project, connect it to your email and files, then connect it to your job data through an MCP connector so it answers from your own timesheets and cost codes instead of guessing. A connector that can change records, like one that builds an estimate, needs a ChatGPT Business or Enterprise workspace, and a person still signs off on every price, payroll figure and anything that goes to a GC.

What can ChatGPT actually do for a trade contractor?#

More than write emails, less than run a job. The rule from Appello's AI sessions with contractor associations: AI moves first. You make the call. It does the first pass, and a person decides.

Job What ChatGPT does What it needs Who checks it
Bid invitations and addenda Lists what came in this week: project, GC, due date, scope, missing documents Your email connected Estimator
Scope and exclusions Turns walk-through notes into a scope letter with exclusions spelled out Your notes and a past letter Estimator or PM
Replies to GCs and suppliers Drafts the reply, flags what you promised and when Your email connected Whoever sends it
Toolbox talk Drafts a talk for this week's hazard on this site The topic and site conditions Safety lead
"How is the job tracking?" Answers from labour and cost by cost code Your job data, through a connector PM or owner
Setting up a won job Builds the estimate or the cost codes in your system A connector that can write Estimator or office

The first four need only your notes, email and files. The last two need a connection to your construction software, which is where MCP comes in.

Step 1: How do you give ChatGPT context about your company?#

Use a Project. OpenAI describes Projects as a place that keeps "related chats, files, and instructions together" so ChatGPT works from the same context every time.

Set up one called "Estimating" or "Office." In its instructions, put what a new estimator would need on day one:

  • Your trades, regions and the kind of work you bid (ICI only, no residential).
  • Your standard exclusions, warranty wording and payment terms.
  • Two or three past scope letters you liked, so it writes the way you do.
  • The GCs you work with most, and anything specific about how each one wants paperwork.

Then try: "Here's who we are and what we do. Research our website and write a one-page company profile. Keep it as your background." Correct what it gets wrong. That page is now the context for every chat in the Project.

Step 2: How do you connect it to your email and files?#

ChatGPT's apps connect it to services like Gmail, Google Drive and Slack, so it can find a file or summarize a thread without you pasting it in. Once connected, try the five prompts Appello hands out at its AI sessions for contractor associations:

  1. "Summarize my emails from [GC or customer] this week. What are they asking me for?"
  2. "What have I promised to send, and to whom? List it with dates."
  3. "Draft a reply to this email. Short and professional. Don't send it."
  4. "Which supplier emails mention price changes or delivery delays?"
  5. "What's on my calendar this week, and what do I need to prepare?"

Two things to sort out before you connect anything:

  • Company email. OpenAI says app availability depends on your plan, workspace and role. On a company Microsoft 365 or Google Workspace account, your IT admin may need to approve the connection.
  • Training. OpenAI says it doesn't use information from apps to train its models by default on Business, Enterprise and Edu. On Free, Go, Plus and Pro, it may, if "Improve the model for everyone" is on. Turn it off in Settings > Data controls before you connect your inbox.

Step 3: How do you connect ChatGPT to your job data?#

Through MCP (Model Context Protocol), the open standard that lets AI assistants work with other software's live records. If you haven't read it yet, what MCP is and why it matters for construction software explains it in plain English.

In practice: your construction software vendor gives you an MCP server address. In ChatGPT, a workspace admin adds it as a custom MCP app, you sign in with your own login for that software, and ChatGPT can now look things up there. Then you can ask:

  • "Which open jobs are spending labour faster than they're earning it?"
  • "Who is scheduled tomorrow with a ticket that expires this month?"
  • "Show me Friday's timesheets for the hospital job."

Plan rules matter here. OpenAI's help centre says full MCP support, including actions that change records, is for Business, Enterprise and Edu workspaces, and that only admins and owners can publish custom MCP apps. Pro accounts can connect custom MCP servers for reading only. If you want ChatGPT to build an estimate or set up cost codes, budget for Business.

Step 4: How do you put it on a schedule?#

This is the part that works while your laptop is closed. ChatGPT's scheduled tasks run "one-time or recurring tasks" and can "monitor for changes." In ChatGPT Work, on Plus and up, you can also start a task when a new Gmail message arrives. Free and Go can't.

A good first one: "Every weekday at 7 a.m., list new bid invitations and addenda from my inbox in a table with the due date, GC and scope, and flag anything due this week." Appello builds this bid-intake routine live in those sessions, because bids get missed in the inbox long before anyone starts a takeoff.

Start with one routine. Create the task from a normal chat, not inside your Project: OpenAI says a task created in a project can't read the files stored there. Check its output every day for two weeks before you trust it.

Which ChatGPT plan do you need?#

From OpenAI's pricing page and help centre, October 14, 2026 (US pricing; Business is the Standard seat; task limits from the scheduled tasks help page).

Plan Price (as published) Projects Scheduled tasks Apps connecting to internal tools Custom MCP that can change records Used for training by default?
Free US$0 Yes Once a day at most; no exact times No No Possibly; setting can be turned off
Go US$8/month Yes Yes (3 active) No No Possibly; setting can be turned off
Plus US$20/month Yes Yes (5 active) Yes No Possibly; setting can be turned off
Pro From US$100/month Yes Yes (15 active) Yes Read-only Possibly; setting can be turned off
Business US$25 per user/month, or US$20 billed annually; 2-seat minimum Yes Yes (10 active tasks) Yes Yes; admins publish No

For one owner trying it out, Plus is enough for Steps 1, 2 and 4. For a team that wants ChatGPT working in your construction software, Business gives you shared workspace controls, admin approval of connectors and no training on your data by default.

What shouldn't you hand to ChatGPT?#

  • The takeoff and the price. It will invent a plausible number if you let it. Takeoff is still human. Everything around it doesn't have to be.
  • Final payroll. It can find a timesheet. It shouldn't be the last check on a union rate, overtime or travel before pay goes out.
  • Contract language. It can summarize a subcontract and list what to ask about. Your lawyer reviews the clauses that matter.
  • Sending. It drafts. You send. Nothing goes to a GC, supplier or employee without a person reading it.
  • A shared login. Each person connects with their own account, so permissions and records mean something.

Where does Appello fit?#

Appello is construction software for ICI trade contractors, and it has its own MCP server built in. Appello has validated it with ChatGPT, Claude, Microsoft Copilot, Perplexity, Cursor and Grok, and it works with any MCP-enabled AI assistant.

In ChatGPT, it's added as a connector that signs in through Appello's own login page. ChatGPT then sees and changes only what your Appello role allows, and every call is logged. With it, ChatGPT can:

  • Answer from live records: safety form completion, earned vs burned by cost code and the WIP report, on top of the schedule, certification and timesheet questions above.
  • Import an estimate. Paste a takeoff summary and have it build an itemized estimate in Appello, with sections and line items.
  • Import cost codes. Set up a won job's cost codes from your standard template or from a list.

Appello switches the connector on for your company and gives you its address. Appello can also open a REST API to customers who want to connect their own systems. See the Appello MCP server page for setup, or ask to see it in a demo.

FAQ#

Is ChatGPT safe to use with company information?
On Business, Enterprise and Edu, OpenAI says it doesn't train on your data by default. On personal plans, turn off "Improve the model for everyone" first, and don't connect a shared inbox.

Can ChatGPT do a takeoff from drawings?
Don't rely on it for quantities. Use it for the work around the takeoff: sorting bid documents, tracking addenda, drafting the scope and exclusions.

Do I need to be technical to connect ChatGPT to my software?
No. If your software has an MCP server, a workspace admin adds the address once and each person signs in with their own login.

Should I use ChatGPT or Claude?
Use the one your team will open every day. Both support MCP connectors, so your job data can work with either. See how to use Claude in construction for the Claude side.

What should my first ChatGPT routine be?
Bid intake: a morning table of new invitations and addenda, with due dates. It's low risk, it reads only, and an estimator can check it in two minutes. Once that's running, the next routine is the one that reads your job data, which is what the Appello connector is for.
