How to Use Claude in Construction: Estimates, Cost Codes and Timesheets by Chat
How a trade contractor sets up Claude: a Project with your company context, connectors to email and files, a skill for your bid-intake routine, a schedule, and a connector to your job data so estimates, cost codes and timesheets can be handled by chat.
How to Use Claude in Construction: Estimates, Cost Codes and Timesheets by Chat#
Set Claude up in four layers: a Project that knows your company, connectors to your email and files, a skill that holds your routine (like how you handle bid invitations), and a scheduled task that runs it every morning. Then add a custom connector to your construction software through MCP, and Claude can build an estimate from a takeoff summary, set up a won job's cost codes and answer "whose timesheets are missing?" by chat. Pro (US$20 a month) is enough for one person to start, Team suits a company, and a person still checks every price and payroll number.
What does Claude do well for a trade contractor?#
Reading a lot and turning it into something you can use. Specs, addenda, a 40-email thread with a GC, last month's job cost report. It drafts; you decide. The line Appello uses in its AI sessions for contractor associations: AI moves first. You make the call.
| Task | What you give Claude | What you get back |
|---|---|---|
| Spec and addenda review | The spec section and the addenda | Scope by system, exclusions to state, questions for the GC |
| Bid intake | Your inbox, through a connector | A table of new invitations and addenda, with due dates |
| Scope letter | Walk-through notes and a past letter | A scope letter in your wording |
| Toolbox talk | The hazard and the site | A five-minute talk your foreman can read out |
| Estimate in your system | A takeoff summary, plus a connector to your software | The estimate built there, with sections and line items |
| Cost codes and timesheets | A connector to your software | Cost codes set up; timesheet answers by job or by person |
Step 1: How do you give Claude your company's context?#
Create a Project (Free gets up to five). Name it "Estimating." Add files Claude should always have: your standard exclusions, two good scope letters, your warranty and payment terms, and a one-page company profile.
If you don't have a profile, ask for one: "Here's who we are: mechanical insulation, ICI only, union, Ontario and western New York. Research our website and write a one-page profile. Keep it as background for this project." Fix what's wrong. Every chat in the Project now starts from it.
Step 2: How do you connect Claude to your email and files?#
Claude's connectors reach the tools you already use.
- Gmail, Google Calendar and Google Drive. Anthropic says these let you "search and send emails, manage your calendar, work with documents." By default, each action Claude takes for you needs your approval, and its answers cite the emails or files they came from.
- Microsoft 365. Claude can search SharePoint, OneDrive, Outlook and Teams in a work account. It needs a work Microsoft 365 account (not @outlook.com), and an admin sets it up first.
Then try a first question: "What bid invitations and addenda came in this week? Make a table: project, GC, due date, scope, documents, addenda."
Step 3: How do you turn your routine into a skill?#
This is where Claude differs most from a plain chatbot. A skill, in Anthropic's words, is a folder "of instructions, scripts, and resources" that teaches Claude "how to complete specific tasks in a repeatable way." Anyone can write one in plain text; no code needed for simple ones.
You don't have to write it from scratch. Ask: "Look at the last 10 bid emails and how we handled them. Write our bid-intake steps as a numbered checklist." Correct it, then: "Save that as a skill called Bid Intake." Now "run Bid Intake on this week's inbox" does the same steps every time. On Team and Enterprise, an owner can give a skill to the whole company.
Good first skills for a sub: bid intake, weekly safety summary by site, and "turn walk-through notes into a scope letter."
Step 4: How do you make it run on its own?#
Scheduled tasks run a saved prompt on your schedule. Anthropic says they're on all paid plans and "run remotely, so they run on their cadence even when your computer is asleep." Each run is saved so you can review it.
Try: "Every weekday at 7 a.m., run Bid Intake and send me the table." Check it daily for two weeks before you stop checking.
Step 5: How do you connect Claude to your job data?#
Through MCP (Model Context Protocol), the open standard that lets AI assistants work with other software's live records. Anthropic created it in 2024 and has since handed it to a foundation under the Linux Foundation. For the plain-English version, read what MCP is and why it matters for construction software.
In Claude it's a custom connector. On Pro or Max, go to Customize > Connectors, add a custom connector and paste the server address your software vendor gives you. On Team or Enterprise, an owner adds it once for the organization and each person connects with their own login. Free accounts can add one custom connector.
Then, depending on what your vendor's connector offers, you can work by chat:
- Estimates. "Here's the takeoff summary for the clinic: 1,200 m of 2-inch pipe insulation with PVC jacketing, 14 valves, 6 tanks. Build an itemized estimate with a section per system." You review it in your estimating screen, and you set the price.
- Cost codes. "We won the school job. Set up its cost codes from our standard mechanical insulation template."
- Timesheets. "Show last week's timesheets on the hospital job." "What did Sam work on yesterday?" "Which jobs are spending labour faster than they're earning it?"
Anthropic's help centre warns that custom connectors reach services it hasn't verified, and that "malicious MCP servers may include hidden instructions." Connect only your vendor's own server.
Which Claude plan do you need?#
From Anthropic's pricing page, October 14, 2026 (US pricing):
| Plan | Price (as published) | Projects | Scheduled tasks | Custom connectors | Used for training? |
|---|---|---|---|---|---|
| Free | US$0 | Up to 5 | No | One | Your choice in privacy settings |
| Pro | US$20/month, or US$17/month billed annually | Yes | Yes | Yes | Your choice in privacy settings |
| Max | From US$100/month | Yes | Yes | Yes | Your choice in privacy settings |
| Team | US$25 per seat/month, or US$20 billed annually; 2 to 150 people | Yes | Yes | Yes; owner adds | Not by default |
| Enterprise | US$20 per seat/month billed annually plus usage; 20-seat minimum | Yes | Yes | Yes; owner adds | Not by default |
On Free, Pro and Max, go to Settings > Privacy and turn off "Help improve our AI models" if you don't want chats used for training. Anthropic says raw content from connectors, including MCP servers, isn't used for training unless it's copied into the chat. On Team and Enterprise, Anthropic says it doesn't train on your inputs or outputs by default.
What should a person always check?#
- Quantities and prices. Takeoff is still human. Everything around it doesn't have to be.
- Anything with a union rate on it before it goes to payroll.
- Anything that leaves the building. It drafts. You send.
- Write access. Start with read-only questions. Give Claude the ability to create estimates or change timesheets once the answers have been right for a few weeks.
- One login per person, never a shared account.
Where does Appello fit?#
Appello is construction software for ICI trade contractors, and its MCP server is built in. Appello has validated it with Claude, ChatGPT, Microsoft Copilot, Perplexity, Cursor and Grok, and it works with any MCP-enabled AI assistant. In Claude it's added as a custom connector on web, desktop and mobile.
Connected to Appello, Claude can:
- Import estimates. Build an itemized estimate with sections and line items, with labour at your trade-level rates and material at your catalogue prices. Then turn the won estimate into the job's Schedule of Values.
- Import cost codes. Apply your cost-code template to a new job, or create a list of cost codes in one go.
- Work with timesheets. Look up timesheets by job or by person, log hours on a job priced at the worker's trade-level rate, split them across cost codes, and submit or approve them, if your Appello role allows it.
- Answer job questions. Who is scheduled where, which certifications expire this month, earned vs burned by cost code, and the WIP report.
Claude signs in on Appello's own login page and gets only what your role allows: a foreman's Claude sees a foreman's view. You approve read, write or admin access, and every call is logged. Appello switches the connector on for your company and gives you its address, and it can also open a REST API to customers who want to connect their own systems. See the Appello MCP server page, or ask to see Claude working in Appello in a demo.
FAQ#
Can Claude read construction drawings?
It can read PDFs and images, but don't take quantities from it. Use it for specs, addenda, scope letters and the paperwork around the takeoff.
Is Claude better than ChatGPT for construction?
Neither is better for every job. Claude's skills and scheduled tasks suit repeatable office routines; use whichever your team will open every day. Both support MCP connectors. See how to use ChatGPT to run a construction business.
Does connecting Claude to Outlook need IT?
Yes. The Microsoft 365 connector needs a work account, and an admin sets it up first.
Can a foreman use Claude on his phone?
Yes. Claude runs on web, desktop, iOS and Android, and Appello's connector works in Claude's web, desktop and mobile apps.
What's the first thing to set up?
A Project with your company profile, then the Bid Intake skill. It only reads, so it's low risk, and the estimator can check it in two minutes. Once that's running, add the connector to your job data so the same chat can set up cost codes and answer timesheet questions.
