Microsoft Copilot for Trade Contractors: What Can It Do with Your Field Data?

If you already run Microsoft 365, Copilot can sort GC emails, recap coordination meetings and pick apart a spreadsheet. It can't see your timesheets, cost codes or safety forms until you connect your field software over MCP. Here's which Copilot you have, what it does out of the box, and the two ways to connect it to live job data.

Microsoft Copilot for Trade Contractors: What Can It Do with Your Field Data?#

Out of the box, Copilot works with what's already in Microsoft 365. It can sort GC emails in Outlook, recap a coordination meeting in Teams and pick apart a spreadsheet in Excel. It can't see the timesheets, cost codes and safety forms in your field software. To work with live field data, you connect that software to Copilot over MCP. There are two ways: a federated connector your vendor publishes through Microsoft, or an MCP tool on an agent you build in Copilot Studio and publish to Teams and Microsoft 365 Copilot. Copilot Chat comes free with eligible Microsoft 365 plans. Grounding answers in your own email and files needs a paid Microsoft 365 Copilot licence.

Which Copilot do you actually have?#

Microsoft uses the name for several products, and what Copilot can see depends on which one you're paying for. From Microsoft's pages, October 14, 2026 (US pricing):

Product Price (as published) What it works with Agents
Microsoft 365 Copilot Chat No additional cost with eligible Microsoft 365 plans The web, and what you paste or upload Can use agents your organization builds, billed by use
Microsoft 365 Copilot Business (add-on, up to 300 users) US$21 per user/month paid yearly; US$18 for the first year on a Microsoft offer to existing Business customers, July 1 to December 31, 2026; US$25.20 billed monthly Your email, chats, meetings and files, in Word, Excel, PowerPoint, Outlook and Teams Microsoft's Researcher and Analyst agents; build your own
Microsoft 365 Copilot (enterprise) US$30 per user/month paid yearly Same, for larger organizations Same
Copilot Studio Included with a Microsoft 365 Copilot licence for agents used in Copilot and Teams; otherwise sold separately as Copilot Credit packs (US$200 per 25,000 credits a month) or pay-as-you-go Builds agents that can call outside tools, including MCP servers Publishes to Teams and Microsoft 365 Copilot

Both paid add-ons need a qualifying Microsoft 365 plan underneath. Microsoft says data in Microsoft 365 Copilot is "not used to train foundation models."

A quick test: ask Copilot "What did the GC ask me for this week?" If it answers from your inbox, you have the paid licence. If it asks you to paste the emails, you're on Copilot Chat.

What can Copilot do with what's already in Microsoft 365?#

Plenty of office work, as long as the information is in Outlook, Teams, SharePoint or OneDrive.

  • Outlook: "Summarize this week's emails from the GC on the hospital job. What are they asking for, and by when?"
  • Teams: "Recap Tuesday's coordination meeting. List what we agreed to do and who owns it." Useful for the foreman who was on site during the call.
  • Word: "Draft a scope letter from these walk-through notes, with our standard exclusions."
  • Excel: "In this timesheet export, which workers are over 44 hours this week, and on which jobs?"

That last one is where most contractors hit the wall. Copilot is good with a spreadsheet, but the spreadsheet is a copy. Somebody exported it on Monday, so by Thursday it's missing three days of hours, and nobody is sure which version is current.

Why doesn't Copilot know about your timesheets and cost codes?#

Because they don't live in Microsoft 365. Hours, cost codes, schedules, certifications and safety forms live in your field software. Copilot sees them only if someone exports them into Excel or SharePoint, or if the field software is connected to Copilot directly.

Exports are fine for a one-off question. For "How is the hospital job tracking against budget?" you want the answer from this morning's approved timesheets, not last week's file. That needs a live connection, and Microsoft's way of doing that without copying your data into Microsoft 365 is MCP (Model Context Protocol), the open standard every major AI assistant now uses to work with other software. Our post on what MCP is and why it matters for construction software explains it in plain English.

How do you connect Copilot to live job data?#

Microsoft offers two MCP routes. Which one you use depends on what your field software vendor provides.

Federated Copilot connector MCP tool on a Copilot Studio agent
Who builds it The software vendor, approved by Microsoft for its Connectors Gallery Your company (or your IT partner) in Copilot Studio
Who turns it on Microsoft's own connectors are on by default; a partner's connector needs your Microsoft 365 admin to approve it in the admin centre Whoever builds the agent; an admin approves it for the whole company
Where people use it Copilot Chat, agents, Word, Excel, PowerPoint, Outlook, Researcher Teams and Microsoft 365 Copilot, wherever the agent is published
Sign-in Each person signs in to the vendor's software with their own account Set in the agent: none, API key, or OAuth 2.0 per person
Changing records Reads. Microsoft dates create, update and delete to October 2026, each change needing the user's approval Whatever tools the MCP server provides
What you need Microsoft 365 Copilot. Microsoft lists Copilot Chat, agents, Word, Excel, PowerPoint, Outlook and Researcher A Microsoft 365 Copilot licence, or a standalone Copilot Studio subscription. Not the Copilot Studio Teams plan, which has no generative orchestration, and MCP needs it. The free trial can't publish an agent

Federated connectors are the simplest for users. The admin enables one, and each person goes to Copilot Chat, then Settings > Sources, and connects with their own login. Microsoft says these connectors fetch data "in real time" without copying it into Microsoft 365, and that Copilot only sees what the user is already allowed to see. Microsoft's gallery lists them by name; it includes tools such as HubSpot, Smartsheet, monday.com and Box.

Copilot Studio can add any MCP server that uses the current Streamable transport. In the agent, go to Tools > Add a tool > New tool > Model Context Protocol, enter the server's name, description and address, and choose how people sign in. OAuth 2.0 means each person signs in with their own account, so permissions follow them. Then publish the agent to the Teams and Microsoft Copilot channel. Microsoft notes that MCP access in Copilot Studio runs through Power Platform connectors, so your data policies for connectors apply to it too.

What can you ask once it's connected?#

Once the field software is connected, the questions get specific:

  • "Which open jobs are spending labour faster than they're earning it?"
  • "Who's scheduled tomorrow with a working-at-heights ticket that expires this month?"
  • "Show me Friday's unapproved timesheets for the school job."
  • "Which safety forms are missing from today's crews?"
  • "Turn this takeoff summary into an estimate for the clinic job."

The last one changes records, so the agent should ask before it acts, and a person should check the result.

What shouldn't you hand to Copilot?#

  • The price. Copilot can build an estimate from your takeoff. A person still checks quantities, rates and markup before anything goes to a GC.
  • Final payroll. It can find a timesheet and flag overtime. A person still signs off union rates, travel and premiums before pay goes out.
  • Sending. It drafts. You send.
  • A shared account. Each person connects with their own login, so the software's permissions and the activity log mean something.

Where is Appello not the right fit?#

Appello is built for ICI trade contractors, often union, with about 20 to 400 field staff. It isn't built for:

  • Residential builders and remodellers.
  • General contractors who need document control for the whole building.
  • One-person shops with no crews to schedule or pay.

Where does Appello fit?#

Appello is construction software for ICI trade contractors, and it has its own MCP server built in. Appello's documentation lists Microsoft Copilot among the assistants it works with, alongside Claude, ChatGPT, Cursor, Perplexity and Grok, and it works with any assistant that follows the open MCP standard.

  • How it connects. Appello switches the server on for your company and gives you its address. In Copilot, it's added as an MCP tool on a Copilot Studio agent, with OAuth sign-in through Appello's own login page, so each person uses their own Appello account. Ask us how it's set up for your Microsoft tenant.
  • It runs as you. Copilot sees and changes only what your Appello role allows, down to job and department. When it connects, you approve read, write or admin access on Appello's login page. Every call is logged.
  • What it can work with. More than 700 tools across jobs, timesheets, schedules, safety forms, certifications, estimates, invoices, equipment, materials and job cost, including earned vs burned and the WIP report.
  • Estimates and cost codes in. Have Copilot turn a takeoff summary into an itemized estimate in Appello, or set up a won job's cost codes from your standard list.
  • Excel when you want it. The Timesheet Log and the WIP report export to CSV, so the spreadsheet questions above still work on a file you exported this morning instead of last week.

Appello can also open a REST API to customers who want to connect their own systems. Bring your Microsoft 365 admin to a demo, and we'll show Copilot answering from your own jobs. See the Appello MCP server.

FAQ#

Is Microsoft Copilot free with Microsoft 365?
Copilot Chat is, with eligible Microsoft 365 plans. Grounding answers in your email, meetings and files needs a paid Microsoft 365 Copilot licence: Copilot Business for up to 300 users, or the enterprise licence.

Does Microsoft Copilot support MCP?
Yes, two ways: federated Copilot connectors, which use MCP to fetch data in real time, and MCP servers added as tools to agents in Copilot Studio.

Can Copilot read data from my construction software?
Only if that software is connected over MCP or its data is exported into Microsoft 365. Ask your vendor whether it has an MCP server, and whether it signs in as each user.

Is Copilot or ChatGPT better for a contractor?
If your company lives in Outlook and Teams, Copilot sits where the work already is. If not, ChatGPT or Claude may be easier to start with. Your job data can work with all three through MCP. See how to use ChatGPT and how to use Claude in construction.

Does Microsoft train its models on our Copilot data?
Microsoft says Microsoft 365 Copilot data is "not used to train foundation models," and Copilot inherits your existing Microsoft 365 security and compliance policies.
