AI that already knows your jobs
Appello Intelligence is the AI built into Appello. It comes in two parts. The AI Co-Pilot sits in the document editor and drafts quote letters, change-order letters and policies using the job, estimate and customer you are working on. The Appello connector works with AI assistants like Claude, so you can ask about your jobs in plain English and get answers from your own records. Both sign in as you and see only what your role allows. It is live in Appello today.
Appello Intelligence: how it works
Draft the letter, not just the price
Open a quote or change-order letter and start the AI Co-Pilot. It loads your company details and the job, estimate, customer and contact behind the document, then drafts or rewrites the wording you ask for. You read it, edit it and place it in the letter.
Hand it the paperwork
Drop a PDF, a spreadsheet or a photo into the Co-Pilot chat, such as a scope sheet or a spec section, and ask it to work from that. The same Co-Pilot is in your document templates and policy documents.
Ask your jobs a question
Connect Appello to an AI assistant like Claude and ask in plain English: who is scheduled at the hospital tomorrow, or how a job is tracking against budget. The answer comes from your Appello records, not a guess.
Keep the same permissions
The connector signs in with your Appello login. It can only read and change what your role allows, and every action it takes is logged. A foreman's assistant sees a foreman's view; the office sees the office's.
A normal week with it
- Monday
The estimator opens the clinic quote letter, starts the Co-Pilot and asks for a paragraph on phasing. It drafts one from the estimate, and she trims it before it goes out.
- Wednesday
The owner asks Claude how the hospital job is tracking against budget. The answer comes from Appello's own job cost records.
- Thursday
The insulation supplier sends a new price sheet. The office has the AI assistant check it and load it into the material catalog through the Appello connector.
- Friday
A PM asks who is scheduled on the plant shutdown next week and gets the crew list without opening the schedule.
What AI costs when it doesn't know your jobs
A general chatbot can write a nice paragraph. It can't tell you what you bid, who is on site or what the job has burned.
- Every prompt starts with copying job details out of one system and pasting them into another.
- Answers about your own work are made up, because the chatbot never saw your records.
- Staff paste customer and payroll data into tools nobody set permissions on.
- The owner still waits for someone to run a report to answer a one-line question.
Appello Intelligence: common questions
Is Appello Intelligence a separate product?
No. Appello Intelligence is the name for the AI built into Appello: the AI Co-Pilot in the document editor, and the Appello connector that lets AI assistants like Claude work with your Appello data. Both run on the same records and permissions as the rest of Appello.
Can the AI see data I'm not allowed to see?
No. The Appello connector signs in with your own Appello login, and every request is checked against your role's permissions, so it can only see and change what you can. Every action it takes is logged.
Which AI assistants work with Appello?
Appello works with AI assistants like Claude through the Model Context Protocol (MCP), the open standard AI assistants use to connect to other software. The AI Co-Pilot is built into Appello's document editor and needs no setup beyond starting it in a document.
