What Are the Best Jonas Alternatives for Mechanical and Insulation Contractors?

Before you replace Jonas, decide what you're replacing: the books and payroll, or the way your crews work. Foundation, Viewpoint Vista and Spectrum are ERP alternatives; Appello runs the field for ICI mechanical and insulation subs next to QuickBooks Online, Sage 50 or Jonas itself.

What Are the Best Jonas Alternatives for Mechanical and Insulation Contractors?#

It depends on what you want to replace. If you want another construction ERP that keeps the general ledger, payroll and job cost in one system, look at Foundation, Viewpoint Vista and Viewpoint Spectrum, and check each one for Canadian payroll if you work in Canada. If the books are fine and the problem is the field (foremen's hours, union rates, safety forms, certifications and knowing where a job stands while it runs), Appello is built for ICI mechanical and insulation subs and runs next to QuickBooks Online, Sage 50 or Jonas itself.

How do the main options compare?#

Every cell comes from the vendor's own website, checked October 14, 2026. Links are in the sources at the end.

Why do mechanical and insulation contractors look past Jonas?#

Jonas is a serious system. Its payroll handles US and Canadian rules, multiple unions and trades, and remittances to the CRA. Its Field Time module lets a foreman enter the crew or workers enter their own hours, with geofenced clock-in. If you run it well, it does a lot.

The reasons people shop anyway usually come down to three things.

  1. The field doesn't use it the way the office does. An ERP is built around the ledger. Foremen want one screen: who's on my crew today, what are they on, what form do I need before we start. If your foremen still text hours to the office, the ERP isn't the problem to solve; the field is.
  2. The setup is a full ERP. Jonas's pricing page lists a core user licence, a server Microsoft Office licence and SQL Server user CALs under required licences, with field tools like Field Time, Field Scheduler and eMobile as add-ons. Jonas Cloud runs the system for you on Microsoft Azure Virtual Desktop. For a 40-person insulation sub, that can be more system than the business needs day to day.
  3. The things insulation and union mechanical crews live on. Travel and board by zone, a worker at two trade levels in one day, tickets that expire mid-job, a T&M ticket signed on Thursday. Ask any vendor, Jonas included, to show you those on a phone.

Should you replace the ERP or fix the field?#

Ask your controller and your field superintendent the same question: "What's the one thing that wastes the most hours every week?"

If the answer is in the office (month-end close, payroll runs, AP, multi-company books, certified payroll from the system that cuts the cheques), you want another construction ERP. Foundation, Vista and Spectrum are a good place to start. All quote, so ask each for the same scope. Expect a long project: an ERP switch moves your ledger, payroll history and every open job.

If the answer is in the field (missing hours, re-typed timesheets, union rates applied by hand, forms on paper, finding out a job lost money after it closed), you want a field platform. You can keep Jonas for the books, or move the books to QuickBooks Online or Sage 50 if a full ERP is more than you need.

If it's both, fix the field first. Clean hours and job cost by cost code make any accounting system better, and it's a smaller, faster change.

What should you ask before you switch?#

Bring a real week to every demo: a crew of eight across three jobs, one apprentice who worked two trade levels on Tuesday, travel and board on a job 90 km out, a T&M ticket the GC signed on Thursday, and the progress claim due on the 25th.

  • "Show me Friday's hours priced from our agreement, with overtime, travel and board, before payroll sees them."
  • "Show me a foreman entering the whole crew in under two minutes."
  • "Show me a worker's expired ticket on tomorrow's schedule."
  • "Show me holdback and HST on the progress claim."
  • "What has to be set up on a server, and who maintains it?"
  • "How do our open jobs, cost codes and employees get moved over, and who does it?"

Where is Appello not the right fit?#

Appello is built for ICI trade contractors, often union, with about 20 to 400 field staff. It isn't built for:

  • Residential builders and renovators.
  • General contractors who need document control and submittals for the whole building.
  • A one-person shop with no field crew.

Where does Appello fit?#

Appello was built inside an industrial mechanical contractor, for ICI trade contractors including mechanical insulation. Vanos Insulations, in Mount Brydges, Ontario, uses it. Their Accounting & HR Manager, Brianne Ernewein: "Since adopting Appello, we have one person running payroll now, which frees up two other administrative people to continue on with day-to-day tasks."

  • Hours. Workers clock in on the phone inside a geofence, or the foreman enters the crew. Each row carries the job, cost code and trade level, priced from the agreement with overtime, travel, board and parking. Approval runs supervisor, then admin. Hours and safety forms entered with no signal are saved on the phone and sync when it's back.
  • Scheduling and service. The daily schedule flags a missing or expired ticket. A dispatch board shows technician rows and work-order bars, and work orders carry T&M lines and checklists.
  • Safety and certifications. Forms built to your program, required on the job and signed on the phone; a certification matrix across the crew.
  • Money. Each estimate line becomes a cost code on the job's schedule of values. Budget vs actual and the WIP report update from timesheets and bills. Progress invoices calculate holdback and tax (HST on an Ontario job). Supplier POs and inventory are tracked against the job.
  • Payroll and the books. Appello prices and approves the hours; your accounting system keeps the ledger and your payroll system pays people. Hours go to QuickBooks Online as time activities, or out as a file for Sage 50, QuickBooks Desktop, Dayforce PowerPay or CSV.
  • Keeping Jonas. No direct connector. Appello has an API, and so does Jonas, so the two can be connected. Ask us about it.

FAQ#

Is there a Jonas alternative with Canadian union payroll?
Jonas's own payroll handles Canadian payroll and CRA remittances. For any other ERP, ask to see a Canadian union pay run. Appello prices union hours from the agreement and sends them to QuickBooks Online or your payroll system.

Can I keep Jonas for accounting and use something else in the field?
Yes. That's a common setup. Ask how approved hours and job cost get from the field system into Jonas, and see it working.

Is Jonas good for insulation contractors?
Jonas is built for mechanical, HVAC, plumbing, electrical and specialty contractors, and its payroll and job cost apply to insulators. Test it on insulation-specific work: pipe and equipment cost codes, travel by zone, and tickets on the schedule.

What's the cheapest Jonas alternative?
None of the ERP alternatives publish prices, so compare quotes for the same scope over three years, including setup and server costs. If you only need the field side, a field platform next to QuickBooks Online is usually a much smaller project than a new ERP.

How long does it take to switch?
An ERP switch moves the ledger and payroll history, so plan for months. A field platform starts with timesheets, scheduling and forms, and can run beside your current books from day one.
