What Software Is Built for Insulation Contractors?

Most 'insulation contractor software' is built for building-envelope work: batt, blown-in and spray foam. Here is what exists for mechanical and industrial insulators, from FastWRAP and STACK for estimating to Jonas and Appello for running crews, payroll and job cost.

What Software Is Built for Insulation Contractors?#

Very little is built for mechanical insulation specifically. On the estimating side, FastWRAP is the clearest example: takeoff for pipe, duct and equipment, with insulation and jacketing layers. Most other "insulation contractor software" is built for building-envelope work: batt, blown-in and spray foam between framing and drywall. To run an ICI insulation company (union crews, hospital and plant jobs, T&M, holdback), you usually pair a takeoff tool with an operations platform built for trade contractors, such as Appello, which carries the job from estimate by cost code through crews, hours, job cost and billing, or a construction ERP such as Jonas if you want payroll and accounting in one system.

How do the options compare?#

Every cell comes from the vendor's own website, checked on October 14, 2026. Links are in the sources at the end.

Why does most "insulation software" miss mechanical insulators?#

Because most of the software that ranks for 'insulation contractor software' is sold to building-envelope installers. Projul's insulation page is about the gap between framing inspection and drywall, attic R-values and spray foam crews. That's a real business. It's just not yours if your crews are jacketing chilled-water risers in a hospital mechanical room or lagging steam lines during a plant shutdown.

The difference shows up in three places:

  1. Takeoff. Building-envelope work is measured by area. Mechanical insulation is measured by pipe size, fitting count, duct size and layers of insulation and jacketing.
  2. Labour. An ICI insulation company often runs union crews: journeypersons, apprentices at different levels, foremen, each paid from the collective agreement (for an Ontario insulator, the Local 95 agreement) with travel, board and parking. Projul's insulation page doesn't mention collective agreements or trade levels.
  3. Billing. You bill a GC monthly against a schedule of values, with holdback, and price T&M tickets on shutdown work. Building-envelope work is billed per house or per phase, not against a GC's schedule of values with holdback.

What should you use for estimating?#

FastWRAP is the only product we found that's built for mechanical insulation estimating. It covers piping, plumbing, equipment, HVAC and industrial duct, and firestopping. Its specs let you stack layers (for example, fibreglass board with metal jacketing on top). It works out the dimensions of each layer, and the material cost and labour hours for the takeoff, with labour split between piping and duct. Takeoffs are done on screen from PDF drawings, with your own cost codes, and the estimate exports to Excel, CSV or XML. It runs on Windows, on a single PC or a network server.

STACK is cloud-based and works in a browser. Its insulation page is built around area takeoffs, and it has a free takeoff version, which makes it easy to try. Check it against a real pipe drawing before you commit.

3E Plus isn't business software. It's a free calculator from the Insulation Institute for picking the right insulation thickness.

Our post on improving your bid-win ratio in mechanical insulation covers the estimating process itself.

What should you use to run the company?#

Once the job is won, the work changes. You're scheduling insulators across five sites, chasing timesheets, pricing each hour from the agreement, filling in safety forms, moving material from the shop to the job, and billing the GC by the 25th. That's where you choose between two kinds of system.

A construction ERP, like Jonas. Jonas handles accounting, US and Canadian payroll, job cost and service work in one system. Its payroll handles multiple unions and trades and produces remittances to the funds and T4s. If you want to run payroll and the general ledger in the same system as job cost, this is the category to look at. It replaces your accounting system, so plan for a bigger switch.

An operations platform, like Appello. You keep QuickBooks Online or Sage 50 as your books and your payroll provider as your payroll. Appello runs the field and the job: crews, hours, forms, materials, job cost and progress billing. More below.

Spreadsheets and QuickBooks still run a lot of insulation companies. That works until the timesheets for three trade levels across six jobs take the office all of Monday.

What should you test in a demo?#

Bring a real week and a real drawing.

  • "Take off this riser: 4-inch chilled water, 1.5-inch fibreglass, aluminum jacketing, with the fittings." (estimating tools)
  • "This apprentice moved up a level on Wednesday. Show me his hours priced before and after." (operations and payroll)
  • "Show me a T&M ticket from a shutdown, signed by the plant, turned into an invoice."
  • "Show me material leaving the shop and landing on the job cost."
  • "Show me holdback on the progress claim, and HST."

Where is Appello not the right fit?#

Appello is built for ICI trade contractors with field crews, including mechanical and industrial insulators. It isn't built for:

  • Residential insulation: batt, blown-in or spray foam in houses, between framing and drywall. Projul is built for that.
  • General contractors who need document control and submittals for the whole building.
  • A one-person shop with no field crew.

Where does Appello fit?#

Appello was built inside an industrial mechanical contractor, for ICI trade contractors including mechanical insulation. Vanos Insulations, in Mount Brydges, Ontario, uses it. Their Accounting & HR Manager, Brianne Ernewein: "Since adopting Appello, we have one person running payroll now, which frees up two other administrative people to continue on with day-to-day tasks."

  • Hours. Workers clock in on the phone inside a geofence, or the foreman enters the whole crew. Each row carries the job, cost code and trade level, so an apprentice who works two levels in a day is priced correctly. Rates come from the agreement, with overtime, travel, board and parking. Hours and safety forms entered with no signal, in a plant basement or a pipe chase, are saved on the phone and sync when it's back in signal.
  • Payroll. Hours go to QuickBooks Online as time activities with payroll items. Approved hours also export as a file for Sage 50 Canada, QuickBooks Desktop, Dayforce PowerPay or CSV.
  • Scheduling. The daily schedule flags a worker whose required ticket is missing or expired.
  • Materials. The catalogue prices materials per unit or per dimension, by supplier. Stock is tracked in the shop and in trucks and checked out to the job.
  • Money. Estimates are built by cost code, and the won estimate becomes the job and its schedule of values. Budget vs actual updates as timesheets are approved. Progress invoices calculate holdback and HST, and signed T&M work orders become invoices.
  • Takeoff. Appello doesn't do drawing takeoff. Keep FastWRAP or STACK for that: the bid exports to Excel, CSV or XML, and Appello has an API and an MCP connector to bring it in. Ask us about it.
  • Payroll and the books. Appello prices and approves the hours; QuickBooks Online, Sage 50 or your payroll provider pays people and keeps the ledger.

FAQ#

Is there software made only for mechanical insulation contractors?
For estimating, yes: FastWRAP is built for mechanical insulation. For running the company, most tools serve several trades and are configured to yours at setup: your agreements and rate tables, cost codes and safety forms.

Can STACK do pipe insulation takeoff?
STACK's insulation page focuses on area takeoffs. Try its free takeoff version on one of your pipe drawings before you buy.

What do union insulation contractors use for payroll?
Usually a construction ERP with union payroll, like Jonas, or a payroll provider fed by timesheets that already apply the agreement. Appello does the second: it prices and approves hours and exports them to your payroll system.

Does Appello work with QuickBooks?
Yes, with QuickBooks Online both ways, and with QuickBooks Desktop through a payroll export file. Our guide to construction software that works with QuickBooks compares the options.

Does a FastWRAP estimate flow into Appello or Jonas?
Not through a built-in connector. FastWRAP exports the bid to Excel, CSV or XML, and neither Appello nor Jonas lists a FastWRAP connector. In Appello, the won bid's cost codes and the estimate can be imported through its MCP connector, which works with ChatGPT, Claude, Microsoft Copilot, Perplexity, Cursor, Grok or any MCP-enabled AI assistant, or through Appello's API. For Jonas, plan on carrying the won bid's cost-code totals into the job by hand, and ask to see that step.

Is 3E Plus really free?
Yes. NAIMA's Insulation Institute offers it free; you sign up on its website to download it.
