Can You Estimate an Insulation Job from Takeoff to Quote in One System?
For mechanical insulation, no single product does drawing takeoff and also runs the quote and the job. The setup that works: takeoff in a tool built for pipe and duct, then price, quote and run the job from one system, so the bid you win is the budget you track.
Can You Estimate an Insulation Job from Takeoff to Quote in One System?#
Not all of it, for mechanical insulation. FastWRAP is built for pipe, duct and equipment takeoff with insulation and jacketing layers, but its own page says the Excel export is where the final quote gets made. So the setup that works is two tools: do the takeoff in a takeoff tool, then price, quote and run the job from one system, so nothing is retyped after the takeoff. Appello is built for that second part. The estimate comes in through its AI connector, labour is priced from your collective agreement and material from your catalogue, the quote letter is drafted from the estimate, and the won estimate becomes the job and its budget.
What does each tool actually cover?#
Every vendor fact comes from the vendor's own website, checked October 14, 2026. Links are in the sources at the end.
| Tool | Pipe, duct and equipment takeoff | Pricing | Quote | After you win |
|---|---|---|---|---|
| FastWRAP (FastEST) | Yes. On-screen from PDF drawings, with layered specs: insulation, jacketing, adhesive, paint | Material priced from your supplier quotes; labour adjustable, split piping and duct | Exports to Excel, CSV or XML; its page says the Excel file is used for the final quote | Not covered |
| STACK | Its insulation page is about area takeoffs that exclude windows and doors; it doesn't mention pipe | Markup, overhead and regional cost data | "Bid-ready, customizable proposals" | Separate plan for plan viewing, punch lists and daily reports |
| Appello | No drawing takeoff | Labour from your agreement's trade-level rates, material from your catalogue, equipment from rate cards; markup, overhead, contingency and margin | Branded quote letter, drafted by AI from the estimate, exported to PDF | Won estimate becomes the job, its schedule of values and its budget; hours land on it as timesheets are approved |
| Spreadsheet | By hand from paper or PDF | Whatever you build | A Word letter | Retyped into the job budget |
Prices: FastWRAP is US$4,995 one time or US$250 a month on lease, with maintenance at US$1,250 a year (optional after the first year). STACK Takeoff & Estimate starts at US$299 per user per month. Appello has no user limit; its price scales with users, the modules you use and a standard server fee, quoted in a demo.
Why is "one system" so hard for insulation?#
Because takeoff and running a job are different problems. Takeoff is geometry: pipe sizes, fitting counts, duct dimensions, and how thick each layer of insulation and jacketing ends up. That's specialist software, and FastWRAP is the only product we found built for it.
The quote and the job are business problems: what labour costs under this year's agreement, what your supplier charges this month, what you exclude, and whether the hours you bid hold up once the crew is on site. Those need to live with your schedule, timesheets and job cost, not in a takeoff tool.
Where does the retyping happen?#
Follow one bid. The estimator finishes the takeoff on a hospital chilled-water job and exports it to Excel. Labour rates get pasted in from last year's wage sheet. The quote letter is written in Word. The bid wins. Three weeks later the PM builds a job budget in another spreadsheet from the quote, not the estimate. The foreman's crew codes its hours to whatever cost codes the PM set up.
That's four handoffs, and each one can lose something. The labour hours in the budget aren't the hours in the bid. The exclusions in the letter aren't in the job file. And at closeout, nobody can say whether the bid was wrong or the job was run badly.
What should carry from the takeoff to the quote?#
- Quantities by system and area. Hot pipe, cold pipe, duct, equipment, by floor or building, so the estimate's structure matches how you'll bill and track the job.
- Labour hours, split the way crews work. FastWRAP already separates piping and duct labour. Keep that split.
- Material by spec, priced from current supplier pricing, not last year's PDF.
- The exclusions and qualifications, written once and carried onto the job: removable covers, asbestos abatement, scaffold supply, after-hours work.
How should you price labour on an insulation bid?#
From the agreement that will be in force when the work happens, at the trade levels you'll actually send. A bid built on a blended "$X an hour" misses the mix of journeypersons, apprentices at different levels and a foreman, and it misses travel, board and the premium for shutdown overtime.
If your estimating rates come from the same wage table your payroll uses, a rate increase changes both at once. If they come from a spreadsheet, someone has to remember.
What happens after you win?#
This is where most of the money is made or lost, and where most estimating guides stop. The won estimate should become the job budget without retyping. Crews then code their hours to the same lines, and every week you can see earned against burned: whether the 400 hours you bid for the Level 2 chilled water are turning into 400 hours of progress or 550.
That's also how the next estimate gets better. When actual hours by system feed back to the estimator, the productivity rates in your takeoff stop being guesses. Our post on improving your bid-win ratio in mechanical insulation covers choosing which bids to chase.
What should you test in a demo?#
- "Take off this riser: 4-inch chilled water, 1.5-inch fibreglass, aluminum jacketing, with the fittings." (takeoff tools)
- "Bring this exported takeoff in and price it with our agreement's rates and our supplier's price sheet."
- "Draft the quote letter with our exclusions, and show me the PDF."
- "Mark it won. Show me the job, the budget and the cost codes, without retyping."
- "Show me a week of crew hours against the bid's labour."
Where is Appello not the right fit?#
Appello is built for ICI trade contractors, often union, with about 20 to 400 field staff. It isn't built for:
- Residential insulation: batt, blown-in or spray foam in houses.
- General contractors who need document control and submittals for the whole building.
- A one-person shop with no field crew.
Where does Appello fit?#
Appello was built inside an industrial mechanical contractor, for ICI trade contractors including mechanical insulation. It picks up where the takeoff ends.
- Bring the takeoff in. Appello doesn't do drawing takeoff; keep FastWRAP for that. Its export comes into Appello as an estimate through Appello's MCP connector, from ChatGPT, Claude, Microsoft Copilot, Perplexity, Cursor, Grok or any MCP-enabled AI assistant, or through a REST API Appello can open to you. Cost codes come in the same way.
- Price it. Build the estimate in sections, with labour lines priced from your agreement's trade-level rates, material from your catalogue and equipment from your rate cards. Add markup, overhead, discounts, contingency and tax, and watch the gross margin as you go. Or start with a lump-sum bid and break it down later. Supplier price sheets load into the catalogue through the AI connector, priced per unit or per dimension, by supplier.
- Quote it. Write the quote letter on your branded template, with an AI assistant that drafts it from the estimate, and export it to PDF. Estimators can add site-visit photos and notes from the phone.
- Track the bids. Estimates move through Draft, Sent, Won, Lost and On Hold, with an estimate calendar and sales reports by estimator and customer.
- Win it and run it. A guided setup turns the won estimate into the job, carrying the customer, contact, location and PO. The estimate seeds the job's schedule of values and budget, approved timesheets land on the cost codes, and budget vs actual and earned vs burned update as the week goes. Change orders are numbered and roll into the next progress invoice once approved.
See Appello for insulation contractors, or bring a takeoff export to a demo and we'll turn it into a quote and a job.
FAQ#
Is there insulation estimating software that does takeoff, quote and job management in one?
Not for mechanical insulation that we found. FastWRAP does the specialist takeoff; a system like Appello prices, quotes and runs the job from the estimate.
Can I import a FastWRAP estimate into Appello?
Yes. FastWRAP exports to Excel, CSV or XML, and Appello imports the estimate and cost codes through its MCP connector or a REST API. There's no direct FastWRAP connector.
Does Appello do drawing takeoff?
No. Use FastWRAP for mechanical insulation takeoff. Appello takes over from the export.
Can STACK do pipe insulation takeoff?
STACK's insulation page is about area takeoffs and doesn't mention pipe. Try its free takeoff version on one of your pipe drawings before you buy.
How do I stop the job budget drifting from the bid?
Build the budget from the won estimate, not from the quote letter or a new spreadsheet, and have crews code hours to the same lines.

How Do You Track Material and Inventory Across Job Sites?
Split it in two: material bought for a job, costed from the supplier bill, and stock you hold in the shop, trucks and site trailers, checked out to the job that uses it. QuickBooks Online counts stock but not by location. Here's what each option does and how an ICI sub keeps it straight.
